Take the Fit Check
Operations and automation for small businesses

If you were out for two weeks, who could keep it running?

Most owners say nobody. That's a real answer, and it isn't a bad one. It's where I start.

I take the parts of your business that live in your head, your inbox and a group text, and build them into a system in the tools you already use, like Google, Microsoft or Slack. Then it keeps running, whether you're there or not.

Take the Fit Check Four questions. Short answers are fine.
Does this sound familiar?
  • New leads sit in your inbox until you remember to answer them.
  • The schedule lives in your calendar, a spreadsheet and a group text, and they don't agree.
  • You send the same five emails every week, typed from scratch.
  • You're the only one who knows where anything is.

What I build

Trackers that fill themselves in. Emails that write and send themselves, or wait for your OK, your choice. Folders and documents made the moment a client books. A short email each morning that tells you what needs you today.

You choose what sends.

Routine emails can go out on their own. Anything you want to see first waits in your drafts. You set the line, and you can move it.

Your filing, not mine.

It names and files things the way you already do, so you never hunt for something it made.

Settings you can change.

Prices, timings and wording live in a sheet you own. No code to touch, no call to me.

Written down.

Every build comes with a plain page that explains how it works. It never depends on me.

How it works

  1. Fit Check

    Free

Four questions about where you're stuck. I reply within a few days, with a time to talk or an honest note that I'm not the right fit.

  2. Ops Review

    $250, credited to your build

I sit with how the work really happens, at your place of business when you're local. You get a Flow Map of your operation. It's yours whether you hire me or not.

  3. Build

    Fixed price, agreed up front

I build it, test it on your real data, and walk you through it. You approve anything new before I build it.

  4. Keep it running

    From $75 a month

Fixes when something breaks, and small changes as your business grows.

About MO

Molly O'Malia

I'm Molly O'Malia, MO for short. I build the back office for small businesses: the trackers, the emails, the calendar plumbing, and the morning summary that tells you what needs you today.

My background is in running operations for a cafe and events business in Indianapolis, where I built the systems behind its event schedule, staff paperwork and payroll. Flow with MO brings that same work to other small businesses.

I start with the tools you already pay for, like Google Workspace, Microsoft 365 or Slack, so there's nothing new to buy or learn. When a business outgrows a spreadsheet, I move it to a proper database and keep every change on GitHub, so nothing is ever lost. My first rule is that you stay in charge.

I'm based in Indianapolis and happy to come to you. When you're local, the Ops Review happens where the work happens, because the workarounds people have stopped noticing are usually the ones worth fixing.

What I work in

Google Workspace
Sheets, Gmail, Drive, Calendar, Forms, Apps Script
Microsoft 365
Excel, Outlook, SharePoint, Power Automate, Office Scripts
Team chat
Slack: alerts, daily summaries and requests where your team already talks
Connecting apps
Zapier, Calendly, booking and payment tools, inquiry sites like The Knot
Code and data
GitHub for every change, databases when a spreadsheet runs out of room

What I do

  • Map how the work really happens, then design the system around it
  • Build trackers, dashboards and reports that fill themselves in
  • Automate email, calendar, file and document steps, sending on their own or waiting for your OK
  • Move a business off scattered spreadsheets without losing its history
  • Write how-it-works guides and staff pages so your team can run it

Where are you stuck?

Tell me in four questions. If I'm not the right fit, I'll say so.
